Keeping Operators Informed – New Digital Changes in Force
The DVSA has introduced further enhancements to its roadside prohibition notification system, aimed at streamlining communication with vehicle operators. These changes impact how prohibition notices are delivered following roadside checks and come as part of the DVSA’s wider efforts to improve operational efficiency through digital services.
As of 17 July 2025, operators with a valid email address recorded on their Operator Licence will notice a change in how they receive prohibition notifications. Rather than including the full wording of the prohibition notice in the email, the DVSA will now provide a downloadable link within the email. This allows operators to access the official letter directly from a secure source.
This follows on from a previous update that came into force on 18 June 2025, when the DVSA began emailing prohibition notifications to operators who had an email address recorded on the system.
Operators will still be issued with a physical prohibition notice at the roadside and receive any related clearance notices via post. However, this new system aims to reduce administrative delays and make the process more transparent and accessible.
If your Operator Licence does not currently include an email address, you will continue to receive prohibition letters and clearance notices through the post at your registered business address.
To take advantage of this new email system, the DVSA is encouraging all operators to check and update their email details by registering for self-service on the Vehicle Operator Licensing (VOL) system.
Why it matters for Operators
These updates signal a continuing shift towards digital efficiency, enabling operators to access critical compliance documentation more quickly and securely. Failing to receive and act on a prohibition notice in good time could result in further compliance issues or sanctions.
At Lloyd Morgan Group, we always recommend that operators stay proactive when it comes to DVSA updates. Ensuring that your contact details are up to date on VOL is a quick and simple way to safeguard your compliance and stay informed about any roadside enforcement activity involving your fleet.
